PTminder Pricing in 2026: What You Pay as Your Client List Grows

PTminder charges $59-$209/month based on active clients. Here's what that costs at 30, 60, 120 and 200+ clients, and how flat-price alternatives compare.

PTminder costs between $59 and $209 a month in 2026, and the tier you pay is set by how many active clients you have: $59 for up to 50, $89 for 51–100, $119 for 101–150, $149 for 151–200, and $209 for 200+. Every feature is on every tier, annual billing saves 10%, and the branded app is an extra $40/month. For a solo trainer growing from 40 to 120 clients, the bill doubles. Flat-price platforms such as PT Suite ($39/month, unlimited clients) remove that variable entirely.

This post sets out PTminder's published pricing, runs the numbers at realistic client counts, and is honest about where PTminder's model works in your favour. Prices are from PTminder's pricing page as of October 2026 and are shown in US dollars, as published. Check the page for your local currency.

PTminder's pricing tiers at a glance

PTminder uses a single feature set and charges by active client count. "Active" means clients you are currently working with. Inactive clients don't count, and the plan moves up or down automatically as your number changes.

TierActive clientsMonthlyAnnual (10% off), per month
50 Client0–50$59~$53
100 Client51–100$89~$80
150 Client101–150$119~$107
200 Client151–200$149~$134
Unlimited200+$209~$188

What's included on every tier: client management, bookings and classes, online payments (Stripe, GoCardless, Debitsuccess, Ezidebit), packages and memberships, workout and nutrition planners, reporting, up to 20 staff logins, and 24/7 live chat.

What costs extra:

  • Branded mobile app: $40/month.
  • SMS reminders: billed per message.
  • Card processing: your payment provider's standard rate, plus a small PTminder application fee on Stripe payments that varies by currency.

The structure is simple and transparent. The variable is your client count.

What PTminder costs at real client counts

The table below shows the annual cost at five client counts. It is set against a flat-price all-in-one, using PT Suite's published US pricing ($39/month on Solo, $69/month on Studio) as the comparison.

Active clientsPTminder (monthly billing)PTminder + branded appPT Suite SoloDifference vs PTminder base
30$708/yr$1,188/yr$468/yr$240/yr
60$1,068/yr$1,548/yr$468/yr$600/yr
120$1,428/yr$1,908/yr$468/yr$960/yr
180$1,788/yr$2,268/yr$468/yr$1,320/yr
250$2,508/yr$2,988/yr$468/yr$2,040/yr

Two things stand out.

First, the gap widens as you succeed. At 30 clients the difference is modest, about $20 a month. At 120 clients it's $80 a month. That's roughly what you'd charge for one 1:1 session, every month, for software.

Second, the jumps arrive at round numbers that a growing trainer passes quickly. A bootcamp coach who runs a January challenge can go from 48 to 70 active clients in a fortnight and move up a tier. The automatic tier change is convenient, but it means your software bill rises in exactly the month your marketing works.

Where PTminder's model works in your favour

Per-client pricing is not automatically worse. It suits two kinds of business:

  • Large teams with a modest client base. PTminder includes up to 20 staff on every tier. A studio with eight trainers and 140 clients pays $119/month. On PT Suite that studio needs Studio Plus at $139/month (unlimited seats), or Studio at $69 plus five extra seats at $14 each ($139). For multi-trainer studios under 150 clients, the costs are close, and PTminder can come out slightly ahead.
  • Trainers who need direct debit through GoCardless or Ezidebit. If your memberships run on Bacs or BECS direct debit through those providers, PTminder supports them natively. PT Suite runs payments through Stripe.

If that's you, PTminder's pricing is reasonable and you may not need to change anything.

Where it costs you: the solo trainer who's growing

The pricing model hurts most for a solo or two-person business that's growing. That describes most of the trainers who read this blog.

A worked example. Sam runs 1:1 and small-group sessions in Manchester. They start the year with 45 active clients on PTminder at $59/month. A local Facebook campaign and a referral push take them to 105 clients by summer:

  • January to March (45 clients): $59/month
  • April to May (75 clients): $89/month
  • June onwards (105 clients): $119/month

Sam's first-year bill is about $1,190. In year two, if Sam holds at 105 clients, it's $1,428. On a flat $39/month plan the bill is $468 in both years. Over two years that's roughly $1,680 Sam could have spent on insurance, CPD, or a month of paid ads.

None of this means PTminder is a bad product. It means the pricing model taxes the growth you're working hardest to create. That's worth knowing before you build a business on it. If you're still deciding on what to charge your own clients, the same logic applies: predictable costs make pricing decisions easier.

Hidden costs to add to the headline price

Whichever platform you use, the real monthly cost is more than the tier price. For PTminder trainers, add:

CostTypical amountNotes
Branded mobile app$40/monthOptional; many trainers skip it
SMS remindersPer messageEmail reminders are free
Separate website£10–£25/monthSquarespace or Wix; PTminder provides a booking portal, not a full site
Card processing~1.5% + 20p (UK), 2.9% + 30¢ (US)Stripe's standard rate on every platform
PTminder application feeVaries by currencyAdded on top of Stripe's rate; shown when you activate Stripe

The website line is the one people forget. PTminder gives clients a portal where they can book and pay, but most PTminder trainers still pay for Squarespace, Wix or WordPress for the public site that Google indexes. An all-in-one with a built-in website builder removes that line. That's why we include the website in our platform comparison.

How to decide whether to switch

Work it out in three steps:

  1. Count your active clients now, and where you expect to be in 12 months. If you'll stay inside one PTminder tier, the saving from switching is small and may not be worth the disruption.
  2. Add up your full stack: PTminder tier + branded app + SMS + website subscription. That's your real monthly cost.
  3. Compare it with a flat-price platform that includes the website. If the gap is more than about $30 a month, switching usually pays for itself within the first quarter, even allowing for an evening of migration admin.

If the numbers say move, the practical steps are in our guide on how to switch from PTminder without losing clients. For a wider view of the market, see the best PTminder alternatives in 2026.

FAQ

How much does PTminder cost per month?

PTminder costs $59/month for up to 50 active clients, $89 for 51–100, $119 for 101–150, $149 for 151–200, and $209/month for over 200. Annual billing saves 10%. All features are included on every tier; the branded mobile app is an extra $40/month and SMS is charged per message.

Does PTminder charge per trainer?

No. PTminder charges by active client count, not per trainer. Each tier includes up to 20 staff logins, with more on request. That makes it relatively good value for larger teams and more expensive for solo trainers with a growing client list.

Do inactive clients count towards PTminder's price?

No. Only active clients count towards your tier. You can archive or deactivate clients you no longer train to stay in a lower tier, although that adds admin every month.

Does PTminder charge transaction fees?

Yes, a small one on card payments. PTminder's help centre says it adds an application fee on top of Stripe's processing fee, which depends on your currency; the exact figure is shown when you activate Stripe. PT Suite charges no platform fee on client payments, so you pay only Stripe's standard rate.

Is there a cheaper alternative to PTminder?

For solo trainers, yes. PT Suite's Solo plan is $39/month (£29 in the UK) with unlimited clients and a branded website included. My PT Hub starts lower but also scales with client numbers. For studios with many trainers and fewer than 150 clients, PTminder's pricing is competitive.

Does PTminder have a free trial?

Yes. PTminder offers a 14-day free trial with no credit card required. PT Suite also offers a 14-day free trial with no card, plus a 30-day money-back guarantee on paid plans.
